SALES & MARKETING COORDINATOR

JOB SUMMARY
This full-time, salaried position works closely with the Sales Manager, Marketing & Communications Manager, and President to support our customer service, marketing, and sales activitiesBig Spoon Roasters is a dynamic, growing business, and the responsibilities and duties of this position will therefore evolve on a continual basis depending on the needs and growth of the company We are seeking a team member who understands that the details matter and is energized by the opportunity to wear multiple hats and be an integral part of the growth of the business. 

PRIMARY RESPONSIBILITIES

  • Customer Service and Sales Support 

    • Answer the main HQ door, manage/answer the main phone line, and check in visitors  

    • Oversee retail customer pickup orders, including arranging picked orders on shelves, greeting customers and getting their orders, and following up with customers who do not pick up their orders in a timely manner 

      • Order change requests 

      • Discount code questions 

      • Shipping issues, including communication with carriers 

      • Product quality concerns 

      • Product availability 

      • Subscription questions and adjustments 

      • Payment issues 

    • Support wholesale order processing and fulfillment for both third-party portals such as Faire, Mable, and grocer ordering platforms, and serve as a backup for direct and B2B orders 

    • Support communication with B2B customers to ensure orders minimums, correct SKUS, and other customer-specific details are maintained 

    • Provide planning and execution support for on-site and local events 

    • Coordinate weekly Employee Product Benefit 

    • Maintain customer lead (B2B retailer) recommendation sheet 

    • Assist Sales Manager with trip planning and regional lead identification 

    • Coordinate the claim and credit process for all inbound and outbound freight and parcels 

    • Ensure the proper labeling and fulfillment for our Community Blend donation program 

    • Support retail partner outreach for stock checks, demo planning, promotion execution 

    • Field donation requests 

 

  • Marketing Support 

    • Customer Engagement 

      • Manage info@bigspoonroasters.com inbox - review, prioritize, and address/transfer/escalate all inbound retail customer questions and concerns 

      • Social media posting and scheduling 

      • Social media monitoring, outreach, and engagement (comments, DMs), including responding to comments and proactive interactions 

      • Assist with Klaviyo SMS inbox management 

      • Monitor and respond to Google, Faire, Amazon, and other third-party reviews, e.g., Yelp 

      • Occasional inbox and social media monitoring outside of normal office hours 

    • Content 

      • Draft marketing copy from source material 

      • Proofread/Proof content across our platforms and for internal documents and signage 

      • Send updates, questions, and general communications to brand ambassadors 

    • Web Presence 

      • Regularly review Big Spoon and third-party sites to ensure products, photography, and videography are up to date 

      • Monitor pricing across all sites and flag any anomalies to drive consistency 

      • Publish blog posts and job postings 

      • Maintain BSR store locator list, which includes compiling links and updating retail partner info 

      • Participate in meetings with outside digital marketing agency 

    • Collateral & Signage 

      • Manage physical sign-making, printing, and laminating 

      • Monitor collateral material inventory and submit purchasing requests for new or low materials 

  • Handle annual vendor documentation requests for non-GMO certification and food safety requirements 

  • Organize, clean, and archive files on our shared drive 

  • Maintain internal Limited Batch sheet and record entries on drive 

  • Prepare for and actively participate in sales, marketing, and cross-functional meetings

  • Exceptional written and verbal communication skills and attention to detail; excellent self- proofreading  

  • Strong analytical, problem-solving, and decision-making skills; process orientation 

  • High level of comfort with computers and software systems; knowledge of Adobe Creative Suite, Microsoft 365, CIN7, Canva, and Shopify a plus 

  • Ability to take direction, learn quickly, and work toward goals independently. A person who needs frequent follow up or reminders about responsibilities and pending projects will not be suited for this job  

  • High personal standards; proactive approach; clear sense of accountability and self-improvement 

  • An all-hands-on-deck attitude. Big Spoon Team Members should be willing to roll up their sleeves and tackle a wide range of tasks in order to help however they can!  

  • Excitement about growth and the challenges and opportunities growth brings 

  • Bachelor’s degree or 2-3 years of applied experience
